Welcome & Mission

Welcome to Sunshine Child Care Center. We are glad you have joined our team.

Sunshine Child Care Center is dedicated to providing safe, nurturing, and developmentally appropriate care for the children and families we serve. Every staff member plays a direct role in making that possible, and we take that responsibility seriously.

Mission Statement: Sunshine Child Care Center exists to support the whole child — cognitively, socially, emotionally, and physically — within a community of caring professionals and engaged families.

At-Will Employment: Employment at Sunshine Child Care Center is at-will. This means either you or the center may end the employment relationship at any time, with or without cause, and with or without advance notice, unless otherwise required by applicable law. No provision in this handbook creates a contract of employment or alters the at-will relationship.

This handbook replaces all prior handbooks, memos, and verbal policies. Questions about any policy should be directed to Maria Rodriguez at (555) 123-4567 or info@sunshinechildcare.com.

Employment Policies

Hiring Process: Sunshine Child Care Center hires qualified candidates who share our commitment to child safety and quality care. All candidates complete a formal application, interview process, and reference check before an offer is extended.

Background Check Requirements: All employees are subject to the following background checks before beginning work with children: - DOJ fingerprint clearance for all employees, volunteers, and household members - FBI fingerprint clearance - Child Abuse and Neglect Reporting Act (CANRA) acknowledgment

No employee may be left alone with children until all required clearances are received. Clearances must remain current throughout employment. Any subsequent criminal charge or conviction must be self-reported to Maria Rodriguez within 48 hours.

Probationary Period: All new hires serve a 90-day introductory period. During this time, performance is evaluated more frequently. Successful completion of the introductory period does not alter the at-will employment relationship.

Job Classifications: - Full-Time: Regularly scheduled 32 or more hours per week. - Part-Time: Regularly scheduled fewer than 32 hours per week. - Substitute: On-call, non-scheduled positions to cover absences.

All positions require compliance with CA childcare licensing requirements, including background clearances and applicable training hours.

Work Schedule & Attendance

Staff-Child Ratios & Supervision

Health & Safety

Handwashing: Staff wash hands upon arrival, before and after food preparation, before and after administering medication, after diapering or assisting with toileting, after handling bodily fluids, after outdoor play, and after removing gloves. Proper handwashing takes at least 20 seconds with soap and running water.

Child Abuse Reporting

Mandatory Reporter Status: Every employee of Sunshine Child Care Center is a mandated reporter under CA law (California Penal Code §11165.7; CCR Title 22 §101212). This is a legal obligation that cannot be delegated, ignored, or overridden by a supervisor.

Confidentiality & Privacy

FERPA and Student Records: Child and family records maintained by Sunshine Child Care Center are confidential. Information about enrolled children — including health records, developmental assessments, incident reports, and family data — may not be shared with anyone outside the center except with written parent consent or as required by law.

Professional Development

Required Training: CA childcare licensing requires ongoing professional development for all staff. Consult the current California licensing regulations for minimum annual training hours by position. Sunshine Child Care Center will provide documentation of all employer-sponsored training in your personnel file.

Disciplinary Procedures

Progressive Discipline: Sunshine Child Care Center uses a progressive discipline process for performance and conduct issues. The goal is to correct behavior and support improvement, not solely to punish.

How does $39 compare?

Childcare centers have three realistic options for a staff handbook.

OptionCostChildcare-specific?
Generic HR template$10–15No
TotReady Staff Handbook$39Yes — state-specific
HR attorney draft$1,500+Yes

Generic templates do not include mandated reporter citations, state-specific ratios, or background check requirements. A licensing inspector reviewing a generic template will find gaps.

State-specific data baked in — not bolted on

California childcare centers must comply with California Code of Regulations Title 22 §101212 for mandated reporting. Staff-child ratios are set at 1:4 for infants, 1:6 for toddlers, and 1:12 for preschool — and all staff must hold DOJ and FBI fingerprint clearances before working alone with children.

Your generated handbook contains these specifics for your state — not placeholders. Select your state during checkout and the correct statutes, ratios, and background check requirements are filled in automatically.

Common questions about childcare employee handbooks

Do I need a separate handbook for staff and parents?
Yes. Your parent handbook tells families how the center operates. Your staff handbook is an internal HR document that governs employment relationships, sets conduct expectations, and satisfies state childcare employment regulations. Licensing inspectors often ask to review both.
Does this cover my state's specific background check requirements?
Yes. TotReady pulls background check requirements directly from your state's licensing database — so your Employment Policies section lists exactly what California, Texas, Florida, or whichever state you operate in requires, with regulatory citations.
What are the staff-child ratio requirements for childcare centers?
Ratios vary by state and age group. In California, for example: Infants require 1:4 (one staff per four infants), Toddlers 1:6, Preschool 1:12. Your generated handbook includes the correct ratios for your state in the Supervision section — not a generic placeholder.
Is this actual legal advice?
No. TotReady generates a professionally structured, state-informed template based on published licensing requirements. We recommend having an employment attorney review it before distributing to staff — especially if you operate in a state with complex labor laws.
Can I edit the handbook after purchase?
Yes. After checkout you can preview every section online and copy any policy into your own document editor (Google Docs, Word, Pages). Fill in placeholders (pay cycle, payment method, specific dollar amounts) in your editor before printing.
How is this different from a generic HR template?
Generic HR templates are written for any industry. This is built specifically for childcare — it includes mandated reporter obligations with your state's statute, licensing-specific ratios, CPR/First Aid certification requirements, and childcare-specific conduct policies that generic templates never cover.
